Terms of service

These terms apply to your use of TradeSync, operated by Ian Samonte (“we”). By creating an account or using TradeSync you agree to them on behalf of yourself and the business you use it for.

The service

TradeSync reads supplier invoices from a mailbox you connect, compares them with purchase orders in your Xero organisation, and helps with product prices, freight costs, payment reminders and bank matching. Features may change as the service develops.

Your account

  • Each person needs their own login. Keep it secure and don't share it.
  • The company owner decides who joins the company and what role they have, and is responsible for their use of TradeSync.
  • You must have the authority to connect the Xero organisation and mailbox you connect.

You stay in control

TradeSync suggests; you decide. Nothing is written to Xero and no reminder is sent unless someone in your company approves it, or has turned on automatic sending for that step. You remain responsible for your accounts, payments, tax and the emails sent to your customers. Check anything important before you rely on it, especially amounts, because invoices are read by software and can be misread.

Your data

Your company's data stays yours. You give us permission to process it only to provide TradeSync, as described in our privacy policy. You can disconnect Xero or your mailbox, or ask us to close your account and delete your data, at any time.

Acceptable use

Don't use TradeSync for anything unlawful, try to access another company's data, interfere with the service, or resell it without our agreement. We may suspend access that puts the service or other customers at risk.

Third-party services

TradeSync relies on Xero, Google, Anthropic, Supabase and Vercel. Their availability and terms are outside our control, and a change on their side can affect what TradeSync can do.

Fees

Any fees are agreed with you separately. If you stop paying, we may suspend access after giving you notice.

Availability and liability

We work to keep TradeSync running and accurate, but it's provided “as is” and we can't promise it will be uninterrupted or error-free. To the extent the law allows, we aren't liable for indirect or consequential loss, and our total liability is limited to the fees you paid us in the 12 months before the claim. Nothing in these terms limits rights you have under the Australian Consumer Law or other laws that can't be excluded.

Ending

You can stop using TradeSync at any time. We may end the service with reasonable notice. Either way, you can ask for a copy of your data before it's deleted.

Changes

We may update these terms. If a change matters, we'll tell account owners by email before it takes effect.

Law

These terms are governed by the laws of Western Australia, Australia.
